These terms and conditions (the Terms) govern your use of the MJPConveyancing.co.uk and MJPConveyancing.com website (the Website). The Website is operated by MJP Conveyancing Limited (the Company) of 69 to 75 Thorpe Road, Norwich, NR1 1UA.
Please read the Terms carefully. If you do not agree with them, please do not use the Website. If you do use the Website, your conduct indicates that you agree to be bound by the Terms.

This notice explains how your information will be used if you decide to instruct the Company to undertake your conveyancing.
As your conveyancers, the Company needs to keep and process information and documentation about you (your Personal Data) in order to provide the service you have engaged us to deliver. Unless you consent otherwise, your Personal Data will be used by us for no purpose other than to deliver that service.
We keep and use your Personal Data to run your transaction and to manage our relationship with you effectively, lawfully, and appropriately, during the progress of the transaction, for as long as you remain a client, at the time our engagement ends, and for at least six years after the engagement is completed. Our professional insurers require us to maintain records for this period. This serves not only our interests but also yours.
This includes using your Personal Data to comply with the terms of our engagement, to meet any legal requirements, to pursue the legitimate interests of the Company, and to protect our legal position in the event of legal proceedings.
If you do not provide this Personal Data, we may be unable to deliver our service to you and, in some circumstances, unable to comply with our obligations. If that is the case, we will tell you about the implications of that decision.
Subject to your consent, we may use some of your data to keep you up to date with developments in the property market through an email newsletter. We will always ask for your consent before including you in our marketing.
When you engage our services, you also have the right to consent to the sharing of your name, address, telephone numbers, and email address with the third party providers we work with who offer will writing, life insurance, and surveying services. We will always ask whether you consent before passing your details to these third parties. If you wish to withdraw your consent at any time, please email us at the address shown at the foot of this notice.
As a provider of residential conveyancing services, we may sometimes need to process your data to pursue our legitimate business interests, for example to prevent fraud, for administrative purposes, or to report potential crimes.
The nature of our legitimate interests is the prevention of fraud and the detection of money laundering and terrorist financing. We will never process your Personal Data where these interests are overridden by your own right to legal privilege.
Much of the information we hold will have been provided by you, but some may come from external sources, such as an electronic identification search that we undertake to help us meet our statutory obligation to verify your identity. This search is carried out through a third party known as Conveyancing Data Services (CDS). Your name, address, date of birth, passport number or driving licence number, and gender are shared with Conveyancing Data Services so that this search can be undertaken.

We also hold bank statements and other financial documents required to meet our statutory duty under The Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017 to check the source of your wealth and funds when you are purchasing a property, together with your bank account details so that we can transfer funds to you during the course of the transaction.
Other than as described in this notice, we will only disclose information about you to third parties where we are legally obliged to do so, or where you have given us your consent. In limited and necessary circumstances, your information may be transferred outside the United Kingdom, or to an international organisation, in order to comply with our legal obligations, and only where appropriate safeguards are in place to protect it.
From time to time, the Solicitors Regulation Authority, or other external auditors, including our third party auditor Legal Eye, will wish to inspect a number of the Company’s files to make sure that we continue to meet the required standards. We will ensure that the auditor has adequate measures in place to keep your data fully protected. This controlled sharing of personal data is necessary for the purposes of pursuing the legitimate interests of the Company’s business.
We may record calls made to our office in order to monitor service levels during your transaction, to comply with anti money laundering and terrorist financing detection requirements, and for training. The recordings will not be shared with any third parties and will be held for six years.

Some of your data will be held and stored on paper, and other data will be held and stored electronically. We have safeguards in place to ensure the security of your data.
Your Personal Data will be stored for a period of at least six years, unless you provide consent for us to hold it for longer.
If, in the future, we intend to process your Personal Data for a purpose other than the one for which it was collected, we will provide you with information about that purpose and any other relevant information beforehand.
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have a number of rights in relation to your Personal Data. You have the right to request access to your Personal Data, and to ask us to rectify or erase it, the right to restrict processing, the right to object to processing, and, in certain circumstances, the right to data portability.
If you have given consent for the processing of your data, you have the right, in certain circumstances, to withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of any processing carried out before you withdrew it.
You also have the right to lodge a complaint with the Information Commissioner’s Office if you believe that we have not complied with the requirements of the UK GDPR or the Data Protection Act 2018 in relation to your Personal Data.
